How to convert PDF to Excel
- Choose a PDF that has selectable text (you can highlight words in a PDF viewer).
- Pick All pages on one sheet for a statement that runs over several pages, or One sheet per page for separate tables.
- Click Convert to Excel, check the preview, then download the .xlsx or CSV file.
How the table is rebuilt
Text on the same line becomes a row. Columns are found where the table has a clear vertical gap in almost every row, so a heading that spans the whole width doesn't break them. Words close together, like "Salary credit", stay in one cell.
Example: a bank statement line
A line reading 03/05/2026 · Rent · (25,000.00) · 1,25,000.00 becomes four cells. The date stays as text exactly as printed. (25,000.00) becomes the number −25000 and 1,25,000.00 becomes 125000, so a SUM of the amount column gives the right total. A reference like 0012345 keeps its leading zeros.
Tips
- Delete header and footer rows (bank name, page numbers) in Excel before totalling.
- If two columns come out merged, use Excel's Data → Text to Columns on that column.
- Always compare the closing balance with the PDF before using the numbers.
